Job Title Senior Event Planning Coordinator

Job Description The Senior Event Planning Coordinator of Events and Conferences works with the Student Life Events Team, Student Life Sales Team, and student staff to produce high-quality, successful events for clients of Student Life event spaces. In addition to coordinating and managing events, this individual will supervise, hire, and train the Event Planning Students. Assists in representing the Events and Conferences team at conferences, tradeshows, and other promotional opportunities; collaborates with the Assistant Director, Campus Events to serve on committees and complete projects; works closely with event staff including University Catering, Reservations and Scheduling, Audiovisual, and Operations teams to coordinate and manage events at Student Life event spaces. Offers comprehensive event services to clients, focusing on understanding and fulfilling their event requirements. Work closely with key components of events and conferences including internal and external caterers, Audio Visual, Facilities Operations, Environmental Services, Risk and Emergency Management, Buck-ID office, Transportation and Parking, Hotels/Lodging, and Operations teams to plan, coordinate, and manage events within and outside of Student Life event spaces. Oversee and manage conference registration by utilizing appropriate software. Plans and coordinates food and beverage services, catering, and other specialized requirements for conference groups and meetings. Consults with clients and vendors regarding detailed arrangements; oversees and ensures smooth execution of assigned events; serves as contact for client needs before, during, and after events; proactively works with event schedule and student staff to determine upcoming event needs; coordinates information about events with other university departments; available to work evenings and weekends.
Minimum Education Requirement Bachelor's Level Degree or equivalent combination of education and experience.
Qualifications Required: Bachelor’s degree in hospitality management or a related field or equivalent combination of education and experience; at least 4 years of full-time event planning experience; excellent attention to detail and strong communication skills; flexibility in schedule, including evening and weekend work in conjunction with scheduled events.
Desired: 4-8 years of full-time event planning experience; 2-3 years of experience with food and beverage or catering services; supervisory experience; 2-4 years of experience using event management and room diagramming software; high volume food and beverage or catering experience; 2-4 years of experience servicing and/or selling to clients in a university setting; excellent rapport with clients, follow through skills; working knowledge of audiovisual equipment.
